Middle School Fun Night Handbook

This is with the help documents because I needed a place to put it.

GUIDELINES FOR MIDDLE SCHOOL STUDENTS

For those of you who haven’t been to a fun night before, we’ll be sending home a permission slip in a few weeks that has all of the relevant information. But in brief, here’s how they work:

The event is only open to Lincoln Lutheran students and is a closed event (once students leave they can not reenter). Seniors begin setting up for the event at 6:00 and we open our doors to middle school students at 6:30pm. Fun night lasts until 10:00pm. During the evening there will be several activities that, for the most part, are available all evening. The events vary somewhat from fun night to fun night, below are the ones that are run consistently.

  • Dance: We go over proper dance etiquette in Access Class the week before so that everyone knows how to act.
  • Dodgeball Tournament: Teams of 6 signup the week before fun night and participate in a double elimination tournament.
  • Game Room: Board games and card games are available or you can bring in your own games.
  • Photos: In years past we’ve printed out event pictures, but our printer is too slow and we can never keep up with demand. This year we’ll upload pictures to the school website (login required) and let students print as many as they want.
  • Arcade: Play Guitar Hero or Dance Dance Revolution on an eight foot by eight foot screen. This year we’re thinking of adding a Wii and bowling, baseball, tennis, golf and so on.
  • Concession Stand: Pizza, snacks and soda are available in the concession stand. Prices are one ticket for snacks or soda and three tickets for a slice of pizza. Students are given 12 tickets to start with, and may purchase additional tickets for $0.25 each.
  • Open Gym: During the first round or two of the dodgeball tournament we will run two games at once, but after that half of the gym is opened up for various other activities. This year we’re thinking of adding an informal “extreme 8-square” tournament.

Normal school rules apply, but here are some things to keep in mind:

  • Please follow school dress code.
  • Some people dress up, others do not. It’s entirely up to you. Keep in mind that you might also be playing dodgeball or knockout and not just dancing.
  • Although you can bring games for the game room, please try to limit other items that you bring. There will be around 200 people at fun night and items can be misplaced, lost or stolen. You don’t need your MP3 player, we’ll have music and DJs. You don’t need your camera, we’ll have people taking pictures. Don’t bring a lot of extra money, at the most you might want to buy a few more tickets.
  • We have never had to do so, but we do reserve the right to call your parents and ask that you be removed from fun night if you can not or will not control your actions.

If you have any questions about fun night, feel free to ask any of the middle teachers.

GUIDELINES FOR JUNIORS/SENIORS

This is a quick and easy fundraiser for the junior/senior class. For most seniors there is little to no work before the event and nearly every junior/senior who has participated has had as good a time as the middle school students.

Fun night has always been very well received by the Middle School students because the seniors who work fun night have made it fun. This is great for the middle school students, but also works out well for seniors, because it means nearly all of the middle school students come to fun night. This in turn means that fun nights are a good fund raiser as well as a nice service to provide.

Below are a few guidelines for juniors/seniors to keep in mind as you prepare for and help with Fun Night:

  • Have fun.
  • Wear casual clothing. You will be working and playing.
  • Be familiar with the duties of the activity that you are running and work with the middle school teacher and lead senior to make sure all duties are covered.
  • If you must arrive late or leave early, or if a conflict arises and you can’t work, make sure you have another classmate (or other student in a pinch) cover for you.
  • You may need to meet together as a group to discus the activity that you are responsible for. The lead senior in charge of the activity will let you know.
  • Keep in mind that the better this fun night goes, the more middle school students will come to the others that we have this year (and next). This helps your class and the ones that come after yours.
  • No dancing at the dance, even if a middle school student asks you. Politely tell them that, “Mr. Sommerer said that I can only line dances.” The middle school students know that you can’t dance with them, so they’re just trying to pull a fast one on you.
  • Well, you can line dance, in fact we’ll need some of you to do demonstrate.

GUIDELINES FOR STUDENT LEADS

Student Leaders are essential to the running of Middle School Fun Nights. without the leadership provided from within your class the Fun Nights would not be the overwhelming success they have been in the past.

Individual responsibilities and duties for each activity are listed in the activity portion of the middle school fun night handbook, and you will want to be very familiar with the one for your activity. Additionally, you may want to read over the other activity guidelines to get other ideas for your activity. Keep in mind that the fun night handbook is new, and may need to be improved. If you see a way to improve it, please let Mr. Sommerer know.

You will each have a middle school teacher who is also working with your activity. They are there to assist you, but the primary responsibility to execute your activity is yours and your classmates working with you. They will be most helpful in providing ideas and assisting in areas where having a teacher would be useful (arranging the use of school equipment, knowing how middle schoolers do things, ordering supplies). They may also be useful when someone on your team isn’t pulling their own weight or when you need someone to write a reference for a job or scholarship.

Some activities require more planning and work ahead of time than others. No matter how much or little time before the event your activity requires, please work to follow the time line provided in your activity page. Give the teacher you’re working with regular updates on your group’s progress so that they can tell me that, “everything is going according to plan” when I ask them.

As a Lead, you should not only be familiar with your own activity, but also be familiar with the guidelines for teachers, (middle school) students and seniors/juniors. That way you will know what to expect from those you are working with and the middle schoolers you are serving.

Generally speaking, something unexpected always happens. Be prepared for the unexpected by being ready to be flexible and by planning ahead for things that could go wrong.

GUIDELINES FOR TEACHERS

With any luck, teachers helping with fun night role should be limited to making sure that senior leads are taking care of business and supervising middle schoolers during fun night.

Individual responsibilities and duties for each activity are listed in the activity portion of the middle school fun night handbook, and you will want to be very familiar with the one for your activity. Additionally, you may want to read over the other activity guidelines to get other ideas for your activity. Keep in mind that the fun night handbook is new, and may need to be improved. If you see a way to improve it, please let me know.

You will each have a lead senior who is also working with your activity. They are there to take care of the planning, preparation and operation of the activity. Your role is to provide any assistance they may need and to verify that said preparation is actually being prepared.

Some activities require more planning and work ahead of time than others. No matter how much or little time before the event your activity requires, please work to follow the time line provided in your activity page. Your senior lead should give you regular updates on their group’s progress so that you can tell me that, “everything is going according to plan” when I ask you.

As a teacher, you should not only be familiar with your own activity, but also be familiar with the guidelines for (middle school) students and seniors and senior leads. That way you will know what to expect from those you are working with and the middle schoolers you are serving.

Generally speaking, something unexpected always happens. Be prepared for the unexpected by being ready to be flexible and by planning ahead for things that could go wrong.

During fun night, stick mainly within the area of your activity. Remember, you’re responsible for everything that happens there, and if something goes wrong and there is no teacher supervision it will still be your responsibility.

GUIDELINES FOR CLASS SPONSORS

With any luck, the senior sponsors helping with fun night role should be limited to making sure that senior leads are taking care of business. There are a few things that need to be taken care of before Fun Night, and we also ask that at least one senior sponsor be present during fun night (you can take turns or whatever).

Duties:

  • Be familiar with the Fun Night Handbook (that just means read through it so you know what’s going on).
  • Provide the fun night coordinator with a list of seniors who are available to work fun night, and assist in choosing lead seniors for each activity.
  • It will be necessary to purchase some supplies for fun night. Decide how you will handle reimbursing lead juniors/seniors and middle school teachers for expenses. You will get a big wad of cash and checks from the middle school at the end of fun night. The concession area will have the largest expense by far. You may want to work more closely with the lead student for that area.
  • During fun night, please look in on the various areas. The middle school teachers are pretty much tied to their respective activity, so you should volunteer to watch their area for 5-10 minutes while they look around or take a break.
  • It is possible that a middle school teacher or a lead junior/senior will approach you about a junior/senior who is not being helpful. If that happens, please take the necessary steps to restore their helpfulness or remove them from fun night.
  • Make sure that no juniors/seniors leave until all areas are clean.

Generally speaking, something unexpected always happens. Be prepared for the unexpected by being ready to be flexible.

Guidelines for Funnight Coordinator

Fun Night Coordinator and Lead Senior will coordinate with middle school teachers, senior class sponsors and lead seniors to make sure that all duties are being covered. In addition they will have other duties as follows.

Staff

  • Teacher

Duties

The primary duty here is to make sure that everything is in place so that other people can do their jobs.

  • Reserve dates on the school calendar for three fun nights, one each in the Fall, Winter and Spring. Selected dates must work for middle school and a majority of seniors.
  • Turn in activity sheets for each fun night.
  • Prepare permission sheets and give them to teacher in charge of concessions area.
  • Prepare dodgeball tournament signup sheets and give them to teacher in charge of gym.
  • Find five middle school teachers to supervise the various fun night activities.
  • Get list of available seniors from senior class sponsors and choose seniors to help with fun night. Assign seniors and lead seniors to each activity and post the list for the seniors to see.
  • Enter dates and announcements on the school calendar and website.
  • Meet with senior leads to make sure all duties are being covered.
  • Coordinate and schedule all special events from the various areas and post schedule.
  • Lock and unlock doors for the start of fun night.
  • Check all outside doors after fun night is over.

Timeline

Below is a general timeline for when things need to take place to prepare the arcade.

  • at least 2 months before: find dates, fill out activity sheets.
  • 2 weeks before: assign teachers and lead seniors.
  • 1 week before: meet with lead seniors to check on progress.
  • 1 day before: meet with supervising teachers on progress.
  • 1 day before: post schedule of special activities in the commons.
  • 6:00pm: supervise setup and troubleshoot problems.

Scheduled Activities

These are events that will happen in your room periodically throughout fun night. The timing of events will be coordinated between the various activities so that students can plan which ones they wish to attend. Collect the scheduled activities and assign times to each of them. Then post these in the commons

Cleanup

Supervise cleanup and do a final evaluation of all areas. Turn off all lights and check all outside doors.

ACTIVITIES: ARCADE

Location

Commons (west side)

Introduction

Several games on a variety of game systems are available for students to play. Your job is to procure games, set them up, manage game lines, show students how to play and maintain high score sheets. Special events may be scheduled throughout the evening.

Staff

Students staffing this section should be familiar with different games and game systems so that they can setup, troubleshoot and explain games. Minimum staffing requirements are listed below:

  • Teacher
  • Junior/Senior Lead
  • Junior/Senior
  • Junior/Senior

Duties

The primary duty here is to encourage and facilitate the middle students having fun. Consideration must also be given to keeping the equipment in great condition.

  • Procure (generally from other students) a few game systems and several non-violent games. Any broken game pieces will be replaced out of the money we make on fun night.
  • Setup tables/chairs and screens as needed. Move anything in the way out of the way.
  • Setup game systems using video projector carts.
  • Playing costs 1 ticket per “turn”. Determine what a “turn” is for each game.
  • Take tickets and maintain a list of the next people to play.
  • Record high scores and post them.
  • When there is no line to play allow students to play longer. This makes the room look fun.
  • Minimize down time by planning game system changes.
  • Play games with the students when the area is empty.
  • Be active participants in all activity taking place in the room.
  • Plan for some scheduled activities to be held at scheduled times throughout the evening.
  • Cleanup area when finished.
  • Return all games and other equipment to their owners.

Timeline

Below is a general timeline for when things need to take place to prepare the arcade.

  • 2 weeks before: find donors to loan games/systems, meet to plan scheduled activities.
  • 1 week before: make a list of who is responsible for knowing system setup and games.
  • 1 week before: finalize scheduled events, make sure you have supplies/prizes
  • 1 week before: determine how to connect game system sound system to projector carts.
  • 2 days before: bring all games/systems/supplies and store in supervising teacher’s room.
  • 6:00pm: bring supplies to your area and setup for fun night.

Scheduled Activities

Below are suggested ideas for scheduled activities. These are events that will happen in your area periodically throughout fun night. The timing of events will be coordinated between the various activities so that students can plan which ones they wish to attend. This is not meant to serve as a complete list. Just some ideas to get you started. For the arcade room, some activities can simply be announcing the start time for any specific games/systems, so that people who would like to play that game can come when other people who want to play are in the game room. Don’t be surprised or disappointed when at least one of your events flop.

  • Announced start time for certain games/systems. (games may be repeated throughout the evening)
  • High score contest for top X scores toward the end of the evening.

Supplies

The games/systems are obviously your main supplies. Any of the following are pre-approved (1 or 2 of each), Other games should be non-violent in nature.

  • Guitar Hero II (or III) with two guitars.
  • DDR with two pads.
  • Wii with 2-4 controllers and a few games.
  • Prizes as needed for scheduled events.

Cleanup

In general, the area you are using should be ready for school to start when you leave. This will mean that the area should be in better condition than when we arrived. Remember that we will be using these areas during the custodial staff’s normal cleaning time, and it is our responsibility to make sure they are ready for school on Monday or other scheduled events over the weekend.

  • Return tables, screens projector carts and other supplies to the correct locations.
  • Sweep and mop area.
  • Desks and other classroom equipment to original position.
  • Turn off lights, lock doors.
  • Help other activities cleanup until all areas are clean

Rules and Guidelines

General school rules apply during fun night. The following rules are meant to help the arcade room run smoothly.

  • Maintain “line integrity” to reduce arguing.
  • Don’t allow students to mess with the game systems.
  • Don’t allow students to argue over rules. Have a junior/senior arbitrate disagreements.

ACTIVITIES: CONCESSION STAND

Location

Commons and Concession Stand

Introduction

The commons serve as the social center of Fun Night. Providing a clean and attractive place for students to socialize is very important. The concession stand provides a way for us to provide a meal and snacks to students throughout the evening.

Staff

The interaction with students at this station are primarily service oriented. Seniors staffing this area should be very business minded, trying to attract “customers” with good service, plentiful supplies and a clean area. Minimum staffing requirements are listed below:

  • Teacher
  • Junior/Senior Class Sponsor (for check in)
  • Lead Junior/Senior
  • Junior/Senior
  • Junior/Senior
  • Junior/Senior
  • Junior/Senior

Duties

The primary duty here is to encourage and facilitate the middle school students to eat, drink and socialize by providing plenty of food/drinks and keeping the commons clean and inviting.

  • Middle school teacher should make hundreds of copies of the permission slip and arrange for teachers to distribute and collect the slips. All slips should be turned in by the Wednesday before Fun Night (but we’ll actually take them late). Use this information to determine the number of students attending and the amount of concessions to purchase.
  • Setup and man the entrance at the start of fun night to mark off names, hand out tickets and collect money. The teacher you’re working with should have a list of students who have signed-up and prepaid. Pre-tear 12 ticket strips to save lots of time at check-in. Check students in at the bottom of the commons ramp (or outside if your perfer).
  • Procure all food, drink and other supplies necessary for the evening.
  • Display food/drinks in an attractive manner.
  • Take tickets from students and give them food/drink in exchange.
  • Sell tickets to students who want more for $0.25 each.
  • Provide a sign displaying the items available, cost per item and cost per ticket.
  • Arrange for someone to get more food and drink if supplies run low (this will be more expensive than planning well ahead of time).
  • Arrange the commons in an attractive and “intimate” manner. Unused tables and chairs should be moved to the back of the commons in a neat manner. This might require coordinating with other activities taking place in the commons. Some tables (about 8) will be used in the small gym.
  • Move all Food Service items out of the way in the concession stand.
  • Empty trash cans as needed throughout the evening.
  • Clean tables, Chairs and floor as needed throughout the evening.
  • Arrange to get ice from the kitchen or training room as needed throughout the evening.
  • Coordinate with the pizza merchant concerning the delivery of pizza.
  • Clean area and dispose of unused supplies as the Junior/Senior Class Sponsor indicates.

Timeline

Below is a general timeline for when things need to take place to prepare the game room.

  • 1 weeks before: coordinate pizza with pizza merchant (ask for $5.99 large one toppings).
  • 1 week before: make a list of who is responsible for gathering which suppies.
  • 4 week before: make sign(s) with prices and items.
  • 3 days before: bring all supplies and store in junior/senior sponsor’s room.
  • 2 days before: remind Tammi that you will be using the concession stand so that she can move anything that she want to move to the kitchen.
  • 1 day before: touch base with pizza merchant and make sure everything is ready.
  • 5:30pm: bring supplies to the commons and setup for fun night.

Supplies

The food and drink are the obvious main supplies.

  • Snacks. You’ll need enough for about 240 servings of snacks. Each snack serving should be about a cup in size. You should have a few varieties available. Popcorn, Pretzels, Cheese Puffs, Puppy Chow have been used in the past. Store brands are okay, but spending the very least money possible will tend to reduce the number of students who attend future fun nights. Somthing like: 3 bags of cheese puffs, 2 bags of Chex Mix and 2 packages of cookies.
  • Drinks. You’ll need enough for about 240 servings of drinks. Each drink should be about one cup in size. You should have a few varieties available. Store Brands are okay, but spending the very least money possible will tend to reduce the number of students who attend future fun nights. Two liter bottles are by far the cheapest way to go, and can be purchased on sale for around $1.00 each. If you run out you will have to buy them that evening for double that amount. Something like: 40 2-liter bottles is about right: 
    • 25 Mt. Dew (various varieties),
    • 5-10 Pepsi
    • 5-10 Dr. Pepper
    • 5 Sprite
    • 1 diet of each
    • a Cream Soda for Mr Sommerer.
  • Pizza. Godfather’s Pizza (327-7000) 5.99/pizza You’ll need about 30 pizzas delivered at various times throughout the evening. Suggested delivery schedule:
    • 6:20 – 15 pizzas: beef, cheese, pepperoni
    • 7:20 – 5 pizzas
    • 8:20 – 5 pizzas
    • 9:30 – 5 pizzas
  • Supplies for the above: cups (min 500), paper plates, napkins and coffee filters (used as bowls for snacks). Your pizza merchant may be able to supply plates and napkins, but you have to ask when you order.

Cleanup

In general, the area you are using should be ready for school to start when you leave. This will mean that the area should be in better condition than when we arrived. Remember that we will be using these areas during the custodial staff’s normal cleaning time, and it is our responsibility to make sure they are ready for school on Monday or other scheduled events over the weekend.

  • Return all items to their correct location in the concessions stand.
  • Tables back to their correct positions.
  • Chairs stacked as normal on the tables.
  • Sweep the commons, mop as necessary.
  • Wipe down all counters and tables.
  • Empty all trash cans into dumpster (after all areas are cleaned).
  • Turn off lights, lock doors.
  • Help other activities cleanup until all areas are clean

Rules and Guidelines

General school rules apply during fun night. The following rules are meant to help the game room run smoothly.

  • Don’t allow students in the concession stand.
  • Be consistent in the amount of food/drink you give per serving.

ACTIVITIES: DANCE

Location

Small Gym

Introduction

The primary activity in the small gym is the dance. Juniors/Seniors will be responsible for playing music and DJing the dance so as to maximize the number of students dancing.

Staff

Juniors/Seniors should take the lead in developing a song list and deciding how to DJ the dance. This will require some students with strong technical skills to setup the necessary equipment, students with a wide musical background and students who are able and willing to “perform” as a DJ. Minimum staffing requirements are listed below:

  • Teacher
  • Lead Juniors/Senior
  • Juniors/Senior
  • Juniors/Senior
  • Juniors/Senior (line dance coordinator)

Duties

The primary duty here is to encourage and facilitate the middle students having fun while they dance.

  • Develop a song list that will last for at least 4 hours (about 80 songs) songs must come from all genre and be appropriate for a middle school dance (this is a significantly tougher standard than for a high school dance because some of our middle school students are only 11-12 years old). See below.
  • Setup tables and equipment before the dance. Setup for this area takes considerably more time than for other areas. Please allow at least 1.5 hours.
  • Verify that DJ equipment and cables is complete, buy cables as needed.
  • Put songs onto the DJ computers and divide them into play lists by song type.
  • Provide a way for students to request songs before the dance so that you have some songs that they specifically requested ready. You might want the supervising teacher to handout and return to you a form that they can use to request songs. You should carefully review these songs to make sure they are appropriate and can be danced to.
  • Setup the large fan to blow air into the gym.
  • Setup computers and projectors to use as decorations.
  • Setup spotlights and stands to use during line dances.
  • Line dance coordinator should get line dance songs and recruit other seniors who can help demonstrate the line dances.
  • Monitor students while dancing to make sure they are not dancing too close “leave room for Jesus” (this has never been a problem).
  • Remind juniors/seniors that they are not allowed to dance with middle school students. Juniors/Seniors should only line dance in the “dance area”.
  • Read through Middle School Dance Etiquette Guidelines so that you can watch for students having trouble with that (plus it’s just a good read).
  • Plan for at least 3 scheduled events to be held throughout the evening.
  • Run scheduled events.
  • Cleanup area (see list) .

Timeline

Below is a general timeline for when things need to take place to prepare the game room.

  • 2 weeks before: meet as a group to decide on special events, and go over duties begin planning play list.
  • 2 weeks before: get song requests from middle schoolers.
  • 1 week before: finalize scheduled events, make sure you have equipment/prizes.
  • 1 week before: finalize play list and provide all songs to middle school teacher.
  • 1 week before: put songs onto DJ computers and sort into iTunes playlists.
  • 1 week before: give middle school teacher list of scheduled activities.
  • 1 week before: verify that all DJ equipment is present and in working order.
  • 3 days before: bring all supplies and store in supervising teacher’s room.
  • 4:00pm: bring supplies to the gym and setup for fun night. (check for practice conflicts)

Scheduled Activities

Below are suggested ideas for scheduled activities. These are events that will happen in your room periodically throughout fun night. The timing of events will be coordinated between the various activities so that students can plan which ones they wish to attend. This is not meant to serve as a complete list. Just some ideas to get you started. Don’t be surprised or disappointed when at least one of your events flop.

  • Line Dancing (3 line dance songs in a row) .
  • Slow dancathon (4 slow songs in a row).
  • There are lots of other “wedding dance” type things you could do.
  • Sadie Hawkins dance

Supplies

The DJ equipment and songs are obviously your main supplies.

  • about 80 songs loaded onto 2 computers.
  • about 8 tables arranged across the middle of the gym (2 deep in front of DJ equipment)
  • DJ equipment and all cables (From Server Closet)
  • lift box
  • 3 microphone cables from AV area of closet in gym
  • 1 spot light and wooden base (on stage or in mezzanine)
  • 2 projector carts.
  • 1 iMac computers to run the carts (make sure they have video out in the back).
  • Video switchbox and cables from fun-night box in server closet
  • Video splitter
  • 3 long extension cords from Mr. Wiemer (most outlets in small gym don’t work)
  • Yellow extention cords from the server closet
  • Large fan from music storage room.

Cleanup

  • Turn off lights, lock doors.
  • Help other activities cleanup until all areas are clean

Rules and Guidelines

General school rules apply during fun night. The following rules are meant to help the gym run smoothly.

  • Don’t allow students to exit via the outside door.
  • Don’t allow students to go behind the tables.
  • Don’t allow students to simply goof off and run around in the dance.
  • Encourage students to follow “dance etiquette” as much as you are able.
  • Don’t allow students to touch any of the DJ equipment.
  • Don’t allow food/drink in the gym.
  • Don’t let students dance too close (and watch the hands too).

Developing a Song List

All songs must be appropriate, and you have to be able to dance to them. You should have multiple songs available from many different genre of music. You should also include “classic” wedding dance type songs. Concentrate on newer songs, but you should set aside at least a third of your play list for older songs as well. fiql.com and iTunes music store play lists are a good spot for song ideas. fiql.com lets you preview the songs and print lyrics too, which can be helpful when deciding if the song is okay for 6th graders.

There are lots of links like this that you can use for ideas too. Or just google for Dance Mix or Wedding Dance Playlist or anything like that. Mr. Sommerer keeps a complete Middle School Dance on his iPhone just in case.

As of 2009, we have an iTunes account with a pretty good selection of dance songs. Ask Mr. Sommerer to buy a $25.00 iTunes gift cart and use $10.00 for any new songs that you need. Save the other $15.00 to buy songs that are requested at the dance. DO NOT play any songs at the dance if you have not listened to them before to determine if the are okay for 10-11 year olds.

DJing, some advice..

  • As Djs, you’ll have to decide when to wait and see if a song catches on and when to cut your loses and move on.
  • Practice with the equipment. You’ll want to be able to do cross fades without thinking about it, and be able to cue up songs in a hurry.
  • Don’t be afraid of the microphone. Talk up the crowd (but don’t talk down to them).
  • If they are not dancing, it might be that you are doing something wrong.
  • Mixing up different types of songs is great, but play a few slow songs in a row, because it takes middle schools a while to get up the nerve to ask someone to dance.
  • Specialty songs: As a DJ you MUST explain what is going on. Otherwise you will confuse (and potentially embarrass) the students.
  • Snowball Dance: where you start with just two people and every 30 seconds they breakup and go get a new partner from the people who are not dancing.
  • Ladies Choice: where the gals have to ask the guys.
  • Silly Dances: YMCA, Chicken Dance, Hokie Pokie…

ACTIVITIES: DODGEBALL & OPEN GYM

Location

Large Gym

Introduction

The primary activity in the large gym is the dodgeball tournament and open gym. Seniors are to encourage students to play games, to facilitate all gym activities and to schedule special events throughout the evening.

Staff

Seniors should take the lead in planning, organizing, running, supervising and announcing all gym activities. Because two (or more) activities will be taking place in the gym for nearly the entire night it is important that all seniors working this area be active leaders, in charge of their events. Minimum staffing requirements are listed below:

Duties

The primary duty here is to encourage and facilitate the middle students having fun. Consideration must also be given to keeping the gym and all equipment used in great condition.

  • Middle school teacher should make copies of Dodgeball Tournament signup sheets, provide them to and explain them to students and collect them from students. All forms should be turned in by the the Thursday before fun night.
  • Prepare a suitable tournament bracket for the dodgeball tournament and post it on a wall (in the gym or the commons). Design the tournament so that teams play as many games as possible, but make sure the tournament is over by 9:30. For the first hour of fun night run two games at once on opposite sides of the gym.
  • Prepare the gym by pushing in all of the bleachers (sweep as needed). Leave two sets on both ends of the East side of the gym pulled out 4-5 rows for dodgeball spectator seating.
  • Make sure you have all equipment necessary to run two dodgeball games at once (balls and cones).
  • Help other activities with their setup until fun night starts.
  • Be familiar with the rules of dodgeball and ways to “speed up” games that are dragging on and on and on and on (see rules).
  • Officiate dodgeball games. This generally requires two seniors per game.
  • Report game results by changing team positions on bracket.
  • Actively supervise the half of the gym used for Open Gym. Ask your supporting middle school teacher if you don’t know what students should and should not be allowed to do.
  • Plan for some scheduled events to be held throughout the evening.
  • Connect the wireless microphone equipment, but leave it in the closet (run a cord out to the wall).
  • Run scheduled events.
  • Cleanup area (see list) .

Timeline

Below is a general timeline for when things need to take place to prepare the game room.

  • 1 weeks before: meet as a group to decide on special events, and go over duties.
  • 1 week before: finalize scheduled events, make sure you have equipment/prizes.
  • 3 days before: bring all supplies and store in supervising teacher’s room.
  • 3 days before: get a list of dodgeball teams and print them on hald sheets of cardstock.
  • 1 day before: use tape to make bracket on common’s wall.
  • Ask Mr. Wiemer if the bleachers should be in or out when we are done.
  • 6:00pm: bring supplies to the gym and setup for fun night.

Scheduled Activities

Below are suggested ideas for scheduled activities. These are events that will happen in your room periodically throughout fun night. The timing of events will be coordinated between the various activities so that students can plan which ones they wish to attend. This is not meant to serve as a complete list. Just some ideas to get you started. In the gym, any group activity that can be finished in 15-20 minutes is appropriate. Scheduled events will be run after 7:30 when we go down to one dodgeball court. Don’t be surprised or disappointed when at least one of your events flop.

  • Knockout with prizes for the top x players.
  • Coordinate line dance instruction with the DJs.

Supplies

The games are obviously your main supplies.

  • 12 dodgeballs and cones to mark the court
  • whistles for each senior
  • 2 9-volt batteries for the microphone
  • 2 stopwatches
  • 1 roll of blue masking tape to make bracket
  • Supplies as needed for scheduled events
  • Prizes as needed for scheduled events

Cleanup

In general, the area you are using should be ready for school to start when you leave. This will mean that the area should be in better condition than when we arrived. Remember that we will be using these areas during the custodial staff’s normal cleaning time, and it is our responsibility to make sure they are ready for school on Monday or other scheduled events over the weekend.

  • Return all equipment to the correct location.
  • Push bleachers in or pull them out (ask Mr. Wiemer ahead of time).
  • Sweep the gym floor.
  • Remove tournament bracket from wall (take a picture of it first)
  • Turn off lights, lock doors.
  • Help other activities cleanup until all areas are clean

Rules and Guidelines

General school rules apply during fun night. The following rules are meant to help the gym run smoothly.

  • Don’t allow students to exit via the outside doors.
  • Don’t allow students to use the locker rooms (they should be locked).
  • Don’t allow students to argue over rules. Have a senior arbitrate disagreements.
  • Don’t allow students to remove equipment from the gym.
  • Don’t allow students to use any equipment in an unsafe manner, or in a manner that might hurt the equipment.
  • If you allow food/drink in the gym, you have to clean it up and perhaps mop it up.

Dodgeball Rules

We will be following the rules that they used in the movie Dodgeball. Which I believe are very similar to the rules found at the National Amateur Dodgeball Association. Please familiarize yourself with these rules and have a copy available for team captains. Here are the spots where we differ from the above rules:

  • If you catch the ball before it hits the ground you get a person back (and the thrower is out).
  • After 5 minutes the game goes to sudden death and players can cross the center line up to the attack line.

ACTIVITIES: GAME ROOM

Introduction

All sorts of board games and other family oriented games are available here. Juniors/Seniors are to procure games, set them up in an attractive manner, encourage students to play games and to play with them. Special events are also to be scheduled throughout the evening. Students will also be encouraged to bring their own games

Staff

It is more important here than in other stations that the juniors/seniors be outgoing and engaging. More juniors/seniors can be used here effectively. Juniors/Seniors who are actively playing games can give up their spot when middle students are interested in joining a game in progress and help start up new games. Minimum staffing requirements are listed below:

  • Remove all library supplies to the librarian office.
  • Completely setup games attractively on at least 7 of the library tables.
  • Help other activities with their setup until fun night starts
  • Encourage students who enter the library to play games.
  • Play games with students.
  • There will be times when seniors outnumber students. Don’t look bored, don’t just talk, start a game.
  • When games are finished return them to boxes or set them up for the next players.
  • Plan for some scheduled events to be held throughout the evening.
  • Return all games to their owners.

Timeline

  • Tournament for any type of game.
  • Start time for large group games (Apples to Apples, Catch Phrase, Pictionary…).
  • Plan a game show type game using larger equipment (the white board for Pictionary).
  • Times when you will be teaching how to play a more obscure game (a card game?).

Supplies

The games are obviously your main supplies.

  • Games, dozens of games. Make sure they are complete.
  • Puzzles, a dozen puzzles (2-3 at a time depending on table use).
  • Supplies as needed for scheduled events.
  • Prizes as needed for scheduled events.

Cleanup

In general, the area you are using should be ready for school to start when you leave. This will mean that the area should be in better condition than when we arrived. Remember that we will be using these areas during the custodial staff’s normal cleaning time, and it is our responsibility to make sure they are ready for school on Monday or other scheduled events over the weekend.

  • Return all library supplies that were removed to the librarian office.
  • Tables back to their correct positions.
  • Four chairs around each table.
  • All games boxed up with pieces in proper place
  • Games returned to seniors where possible and stored in supervising teacher’s room where not.
  • Pickup all trash on floor, empty trash cans into main trash cans in commons.
  • Vacuum floor.
  • Turn off lights, lock doors.
  • Help other activities cleanup until all areas are clean

ACTIVITIES: TATTOO PARLOR

Location

Commons (setup off to the side)

Introduction

Face Painting is fun and stuff, so lets have a place to do it. This is our most specific activity, so it won’t have as much in the way of setup.

Staff

Juniors/Seniors staffing this section should somewhat artistic, and capable of looking pleasant even when bored out of their minds waiting for the next middle schooler to want a tattoo. Minimum staffing requirements:

  • Lead junior/Senior
  • Junior/Senior

Duties

The primary duty here is to provide an alternate activity for students on fun night. Suggesting what to paint is as important here as the painting itself.

  • Procure face painting supplies as needed (there are usually some left over from the last fun night).
  • Develop a list of tattoos that you can paint for people and paint them on something to display during fun night.
  • Setup tables and put art paper on them. (set them up in a way that makes it obvious that people should wait behind a certain point until it is their turn to get a tattoo.)
  • Tattoos cost 1 ticket each (or free or whatever).
  • Paint people.
  • If things get busy, you might want to have a signup sheet so that people don’t have to stand in line.
  • You can offer specials for dodgeball team tattoos (maybe all 6 team members for 2 tickets?)
  • Paint little doodles on the tabletop (spread art paper first) when you’re not busy.
  • Cleanup.

Timeline

Below is a general timeline for when things need to take place to prepare the arcade.

  • 1 week before: purchase any needed supplies.
  • 1 week before: paint a list of the tattoos you know you will be doing.
  • 2 days before: bring all supplies and store in supervising teacher’s room.

MIDDLE SCHOOL PARENT’S DATE NIGHT

Placeholder for fleshing out the idea for sponsoring a “Date Night” for middle school parents to be held concurrently with Middle School Fun Night. The basic idea is for the Junior class to provide baby sitting for middle school families and some ready packaged date ideas for parents (perhaps along with discount coupons for the 5 suggested dates).

This would be done as a service/fund raiser where the middle school parents are asked to make whatever contribution they feel in appropriate and within their means for services rendered. Probably done by paying students in a provided sealed envelope that also contains suggestions for figuring out an appropriate donation.
