NOTE: Form Mule is the add-on that emails students, parents, admins, and teachers when a student receives a ZAP. I could not access form mule from the main account. It worked fine from my lsommerer account. Maybe look into that.
Every so often, Form Mule will stop sending emails. This appear to happen after a certain number of rows is reached. So you’ll probably want to erase everything in the Form Responses tab at the end/start of each semester.
But you will forget to do that, and then it is much more work, because you don’t want to delete all of the data in the middle of the semester. Here’s what I recall of the steps to make this work:
- On Full List tab, unhide all of the rows.
- For the rows you intend to keep, copy the “check box columns” and paste them at the top. They are static, and when you delete the rows you are removing, you’ll want to keep this data by moving it to the top
- Do the same for the “Notes” column (copy the ones you’re keeping and paste at the top.
- Un-hide the calculations tab, and do the same for the last two columns (copy all the way down to the end, so you get blanks for any rows where the email hasn’t been sent).. These are the columns that Form-mule uses to record if an email has been sent.
- Un-hide the Form Responses tab, and delete the rows you want to delete (presumably the ones down to where you want to keep them).
- In the Calculations tab, now it is safe to delete anything in the last two columns for rows below that might still be populated. Do this.
- Likewise, in the Full List tab, you can delete all of the data in the check box and notes columns below the current data (and you should).
- Now the data should be correct except that all of the ZAP rows are showing, even completed ones. Hide the rows where the ZAP is over. You can select the rows and right click to hide them, or toggle the ZAP Over checkbox off and back on (but that takes more time).
- Finally, go into the Form Mule extension: Extensions -> Form Mule… -> Preview and Send All (I had to do this from the lsommerer account). I think this will just send to the rows that are blank in the last two columns of the calculations tab. You can check that the first few emails it will send are the first few that you want sent.
- Finally, hid the tabs that people don’t need to see.
